# Review creative work and share media portals

> Run staged proof reviews, annotate images or video, invite guests and distribute published media through portals.

## Goal

Complete a version-specific creative review and share approved media with the intended recipients.

## Prerequisites

* Sign in to Stackshift and select the Assets space you want to work in.
* Your role must permit the actions you perform in that space.

## Choose creative review or moderation

Open Review and select Creative proofs and publications for editorial approval. Moderation queue is a separate workspace for media moderation decisions. A malware scan, moderation decision and creative approval answer different questions; passing one does not automatically complete the others.

Start from the publication draft that contains the versions and renditions reviewers should see. A proof captures a version-specific snapshot, so feedback remains attached to the media under discussion. ## Configure review stages

Add a Stage name and assign internal reviewers or an External reviewer email. Choose All assigned reviewers must approve when every reviewer is required, or Any one assigned reviewer may approve when one decision is sufficient. Add stages in the order the work should pass through the team.

For example, use a Design stage followed by a Brand stage. Set an optional deadline in your local time and configure reminders if needed. Save the stages, then choose Start creative review. The active stage displays Awaiting decisions; later stages remain inactive until progression permits them.

## Comment on the exact image area or video time

Add a Version-specific comment to explain what needs attention. Annotations support a point, rectangle or time range, depending on the media you are reviewing. Select the intended rendition before adding a location-specific comment. For video, use the relevant start/end times; for an image, mark the actual area.

Reply in the discussion to keep related feedback together. Resolve a comment when it has been addressed and inspect discussion history before assuming feedback applies to the latest version. Comment resolution is not the same as an approval decision.

## Approve, request changes and inspect earlier rounds

Only assigned reviewers can decide the active stage. Choose Approve proof when satisfied. To request changes, enter a Decision reason, then choose Request changes. The reason should describe what must change and where.

A revised publication needs review of its new snapshot; earlier-round comments and decisions remain historical evidence. Read the proof status and round history before acting. Approved, changes requested, superseded and cancelled have different meanings. Creative approval does not publish the media automatically.

## Invite an external reviewer

Assign the guest email in the stage configuration. In Guest invitations, choose the Assigned guest, select Preview only or Downloads allowed, and choose Send verification invitation. The invitation requires email verification and expires after seven days.

The guest uses the invitation flow to review the assigned proof rather than receiving general access to the Assets space. Use Revoke this invitation or the guest-access list to stop an invitation. If an invitation is queued, it has been submitted for email delivery; check delivery separately if the recipient does not receive it.

## Build a branded portal

Open Manage → Portals and create a portal. Set Portal name, Brand name and Introduction. Select the collections or explicit publications to include, then choose the public fields recipients may see, such as title, alternative text and the offered metadata fields.

Save the draft and choose Publish revision when its contents are ready. Edit draft makes subsequent changes; publish the revision you want recipients to receive. A portal assembles approved media for distribution and is distinct from a creative proof that asks for decisions.

## Share with a recipient or an expiring link

On a published portal, choose Share. Invite with email verification identifies a recipient. Expiring share link can be used by anyone who has the link until expiry or revocation. Enter Access expires in your local time, within 30 days.

Preview and download is available only when the portal allows downloads and the recipient grant includes that permission. A preview-only grant does not become downloadable merely because another recipient can download. Choose Send invitation or Create share link, then deliver the resulting link only to its intended audience.

Use the guest-access list or Revoke this access to revoke a grant. Withdraw removes the portal’s published availability. Changes to the underlying publication’s availability and rights still apply; a portal does not make unavailable source media permanently accessible.

## Troubleshoot review and sharing

If an approval is rejected, confirm that you are assigned to the currently active stage and refresh the proof revision. If a portal cannot publish, check that its selected publications are available and that you are saving against the current draft revision.

If a guest cannot open media, verify the invitation email, verification step, expiry and revocation state. If downloads are missing, check both the portal’s download setting and that guest’s permission. When replacing media, keep the old review history and create an intentional new publication/review snapshot.
